This page explains what details we collect, why we need them and how we keep them safe. It also tells you about your rights.
Who we are
Tuition with Claire & Co is run by Claire Jackson in Rayleigh, Essex. Claire is in charge of your details. In the law this is called the “controller”.
Questions about your details? Email tuitionwithclaire@yahoo.com.
We are registered with the Information Commissioner’s Office (ICO). Our number is ZB707445.
What we collect
When you fill in our questions
- Your name, email address, phone number and postcode.
- Your child’s first name and school year.
- The subjects you want help with.
- The days, times and lesson length that suit you.
- Your answers to two questions. One asks if we can share anonymous examples of your child’s work. The other asks if we can take photos in lessons to send to you.
When you use our contact form
- Your name, email address and message.
When you visit the site
- Basic technical details, such as your IP address and the browser you use. Our website host keeps these for a short time to run the site and keep it safe.
- A record of your cookie choice, so we can show what you agreed to. It does not hold your name or IP address.
- If you say yes to ad cookies, details about your visit go to Meta. See our cookie policy.
Why we use your details
The law says we must have a reason to use your details. Here is each reason.
- To reply to you and find the right tutor. We need your details to do what you asked. The law calls this taking steps to agree a contract with you.
- To run lessons. We need your details to give your child the lessons you asked for. The law calls this a contract.
- To share work and take photos. We only do this if you said yes to our two questions. The law calls this consent. You can say no at any time.
- To keep your child safe. We keep safety records and act on any worry about a child. The law asks us to do this.
- To keep the site safe. We check for spam and misuse. The law calls this a legitimate interest. It helps us keep the site working for everyone.
- To see which ads work. We only do this if you say yes to ad cookies. The law calls this consent. You can change your mind at any time.
- To keep a record of your cookie choice. The law asks us to be able to show what you agreed to.
- To follow the law. For example, we keep some records for tax.
We never sell your details. We do not send you marketing emails.
We do not make decisions about you by computer alone.
Do you have to give us your details?
No. But without them we cannot reply to you or plan lessons for your child.
Children
This site is for parents and carers. We ask you for your child’s first name and school year so we can match them with the right tutor. We do not ask children to fill in our forms. We get your child’s details from you.
We take photos of your child’s work or activity, not your child. We only do this if you say yes. We send them to you. Any work we share online has no names or details on it.
We only take or share a photo of your child if you agree first, every time. If your child is 13 or over, we ask them too. You can change your answers at any time. Just email Claire.
Health or extra needs
Before lessons start, we ask you to tell us about any medical needs, allergies or extra needs. We only use this to keep your child safe and plan their lessons. We only share it with your child’s tutor.
Keeping children safe
Claire is our safeguarding lead. If we are worried about a child’s safety, we may share what we know with Children’s Services or the police. We may not be able to tell you first. The law allows this to keep children safe.
Who we share your details with
We only share what each one needs to do its job for us.
- Our tutors. The tutor who will teach your child sees the details they need to plan lessons. Every tutor is DBS checked and registered with the ICO.
- Vercel. Hosts this website and stores the record of your cookie choice. If an email to Claire ever fails to send, a safe copy of your enquiry is kept here so it is not lost.
- Resend. Sends your enquiry to Claire and sends you a confirmation email.
- Yahoo. Claire’s email inbox, where your enquiry arrives.
- Neon. Stores Claire’s private planner, where she keeps her waiting list.
- WhatsApp. Only if you agree to it as a way to keep in touch, for example to get feedback after a lesson.
- Meta (Facebook and Instagram). Only if you say yes to ad cookies. When you send your answers, we send Meta a coded copy of your email, phone number and first name. Meta uses it to match you to its users and then deletes it. Meta also uses details of your visit to show and improve ads. Meta is in charge of what it does with these. See Meta’s privacy policy.
Vercel, Resend, Yahoo, Neon, WhatsApp and Meta may store data in the USA. When they do, they use contract terms the UK has approved or the UK and US data bridge to keep it safe.
How long we keep your details
- If you do not go ahead, we delete your details within 12 months.
- If your child has lessons, we keep your details while the lessons carry on.
- We keep lesson records for 3 years after lessons end. Then we delete them.
- We keep invoices and payment records for as long as tax law asks. This is about 6 years.
- We keep safety records until your child turns 25, as safeguarding rules ask.
- We keep the record of your cookie choice for up to 2 years.
